Guided Rides Participation T&Cs
Effective date: 1 March 2024 (amended January 2025)
To take part in our Guided Rides, we ask that all participants read and accept the following terms:
You will be asked prior to setting off on a Guided Ride to sign a hard copy of the following agreement;
You agree to abide by the rules of the UK Highway Code ‘Rules for Cyclists’ (Rules 59-82)
You understand that you may be injured while bicycling or otherwise participating in this Guided Ride, and you agree to be responsible for my actions. You consent to emergency medical treatment in the event of injury. You further state that you are in proper physical condition to participate in this Guided Ride. In your judgement you have sufficient competence and experience to participate safely in such riding.
You promise to release and hold harmless Where My Wheels Go, its sponsors, stakeholders and all other persons involved in the organisation concerning this event from all actions, proceedings, demands, costs, expenses and claims whatsoever made or taken by any person arising out of my participation.
You take part entirely at your own risk, accepting that Guided Rides involve some riding on public roads used by other traffic and you are aware of the hazards involved in that. Additionally you are aware of the risks associated with cycling off-road as well as on Shared Paths with other users and in riding bicycles in general.
Cancellation and Amendment
Bookings cancelled up 72 hours are subject to a 75% refund.
Bookings cancelled with less than 72 hours notice are not refundable.
In the event of a ‘No-show’ (defined as failure to be at the appointed start 5 minutes after the scheduled departure time) bookings are not refundable.
In the event of cancellation of Where My Wheels Go having to cancel a Guided Ride, due to illness or incapacity, a full refund of fees will be given less the booking fees.
Bad Weather
Guided Rides will depart even if it is raining, or due to rain.
In the advent of a Yellow, Amber or Red Weather warning as issued by the Met Office, the scheduled Guided Ride will be cancelled, even if this is less than 24 hours notice. In this event you will be offered a place on another Guided Ride or refunded of 75% of the Ride fee.
In Preparation for the Guided Ride
Your bicycle should be in a roadworthy condition with functioning brakes and suitable tyres. You should should carry a spare inner tube as well as a working pair of lights. A bottle of water is advised.
Wearing a quality cycle helmet which conforms to the latest safety standards is mandatory.
You should check the weather forecast before setting off and arrive at the start of the ride wearing appropriate clothing for the conditions.
Route Changes
All confirmed riders will be sent a gpx file of the route a few days prior to the ride. You are encouraged to download the route onto your device (phones, Wahoo, Garmin, etc).
Where My Wheels Go reserve the right to change the route from that sent on the gpx file without notice, having taken into account road closures, special events and/or unique circumstances.
Minimum Numbers
For all Guided Rides, there needs to be a minimum of 2 paying riders.
If you are the soul paid rider and the Guided Ride is withdrawn, you will be offered a place on another Guided Ride or refunded in full.
Cycling Ability, Conduct and Responsibilities
You, as a participant, are aware that cycling is inherently dangerous and Where My Wheels Go cannot be held responsible for any accidents or mishaps.
Rides usually feature mixed surfaces which may include woodland trails, narrow canal paths, shared paths, public roads and lanes. Whilst we seek to avoid busy roads without adequate cycle segregation, all participants must have suitable experience and confidence riding both off and on road.
You agree to familiarise yourself with the route distances, terrain profiles and conditions.
You are responsible for your own safety and decision-making during the Guided Ride. Should you wish to leave the ride at any point, please let your Ride Leader know. Should you experience a mechanical failure or puncture, we will do our best to help you continue, but you may be asked to leave the group and make your own way home without any reimbursement of fees.
Should your conduct, in the opinion of the Ride Leader, threaten the safety and enjoyment of other members of the Guided Ride or other users of a Shared Path, you maybe asked to leave the Guided Ride without refund. Such an event would bar you from paticipating in any future Where My Wheels Go Guided Rides.
You are responsible for your personal property. Where My Wheels Go will not be liable for any theft, loss, damage, delay, inconvenience, direct or consequential loss.
You agree to follow the safety instructions given by the Ride Leader.
We ask that you ride with consideration for the others in the group.
Photography and Filming
Where My Wheels Go reserves the right to take photographic or film records of any of its Guided Rides and to use any such photographic or film records for promotional and/or commercial purposes. You reserve the right to withdraw from a photo opportunity prior to the photograph being taken.
Should you take photos of other participants on the Guided Ride, you should seek their permission if you intend publishing, sharing or posting the photo on any Social Media or other Commercial outlet.
Children
Our Guided Rides are not suitable for children under 15 years.
Children under the age of 18 must be supervised by a parent/guardian.
Insurance, Privacy Policy and Subscriptions
Where My Wheels Go maintains a public liability insurance for their activitie through Cycling UK. This insurance does not cover the clients or participants for their actions.
Our insurers stipulate that all participants on a lead bicycle tour must wear a cycle helmet.
By submitting the form to sign up for a Guided Ride, you agree that we process your information in accordance with my Privacy Policy and WMWG Website Terms & Conditions.
